Desk Booking

This is referred to on page 6 and 'Appendix 1: Hot Desking' within the Yeo View Building Guide (please see to the right), wider Trust staff can access desk booking through the following link: https://ndservices.ndevon.swest.nhs.uk/DeskBookingYeoView/. Staff with allocated desk space in Yeo View retain priority booking, but general Trust staff are able to book a desk 7 days in advance. To log in, please use your standard Trust username and password.


Meeting Room Booking

To book a new meeting in a Yeo View meeting room

  1. find an available slot in the relevant calendar (see instructions below on adding a meeting room to your outlook calendar and viewing room availability)
  2. invite the relevant 'room' to the meeting appointment by creating a new appointment in your outlook calendar
  3. Create an appointment in your calendar, search in the 'To' section for one of the meeting rooms below, making certain that you add an MS Teams link. This will allow full MS Teams and video conferencing functionality.
  4. you will receive an accepted response from the meeting room confirming your booking

Please note that the meeting rooms should be utilised by staff only, and are not a suitable for patients.


Add a Yeo View Meeting Room to your Outlook Calendar

To add the Yeo View meeting room calendars to your outlook application complete the following steps (you will only need to do this once):

  1. Open Outlook
  2. Open Outlook calendar
  3. Click on 'Open Calendar' from the ribbon
  4. Click on 'Open Shared Calendar' from the drop down
  5. Type 'rduh.yeoview' and enter
  6. Select the calendar you wish to view
  7. The calendar will appear under 'Shared Calendars' on the left hand side of Outlook


Viewing Meeting Room Availability

You will be able to view meeting room availability by opening the below calendars:


Transfer of Pre-existing meetings

Meetings that were booked in Chichester Boardroom and the Munro House meeting room between now and December 2025 have been transferred to Yeo View Meeting Room 1 and Yeo View Meeting Room 2 respectively. If you have a pre-existing meeting in either of these rooms during 2025, you will be able to join the MS Teams call in the room using the control panel (located on the meeting room tables / counter top). Please check to ensure that your meetings have been transferred successfully using the instructions above.

If you require a larger space meeting room 1 and 2 can be booked concurrently (if available), and the partition wall can be drawn back. The key is available at the Estates and Facilities reception.

If you no longer require the meeting room, please ensure to cancel the meeting from your diary. This will free the space up for another colleague to book.

Using the video conferencing equipment during a meeting:

When starting a meeting, a calendar with upcoming meetings will be displayed on the main video conferencing screen. If nothing is showing on the screen, please use the remote to turn the screen on. To start the MS Teams meeting in the larger meeting rooms, use the desktop touch panel. Please note that if you are presenting a slide deck you will need to bring a laptop, joining the meeting and presenting what is on your work laptop.

Meeting room 3 will display bookings on the small display screen outside the room. Please note that meeting room 3 does not have any video conferencing capability.


Yeo View Building Access

The Yeo View building is general access on Northern Services staff ID cards, this means that Eastern Services staff require a Northern Services staff ID card with the correct access permission to gain entry to the building. Northern Services staff ID cards can be obtained from the Facilities Helpdesk located in the Estates and Facilities building which is located next to Yeo View.
